What the portal stores

Ad performance. Spend, impressions, reach, clicks, and lead counts for each advertising client’s Meta ad accounts, by day and by ad, copied from Meta’s reporting API on a schedule. These are aggregate numbers; they identify ads, not people.

Lead details. When someone submits a Meta lead form for one of Leadscape’s clients, Meta sends Leadscape what they entered: typically a name, an email address, a phone number, and their answers to the form’s questions, together with the ad and form it came from and when it was submitted.

Notes and pipeline stages. What the client writes about a lead inside the portal, and which stage of their sales pipeline the lead is in.

Meetings. When a client books a visit with a lead: the date and time, the address they enter for it, which of their own technicians or salesmen is assigned, any notes, and photos the client chooses to take at the visit.

Lead addresses. The address a client saves for a lead, typed on the lead or taken from a meeting they book, which puts the lead on their lead map. To find it on the map, the portal sends the address text, never the lead’s name, to the U.S. Census Bureau’s public geocoder.

Account and login records. The name and email address of each portal user, a hashed password, sign-in events with their time and network address, and a log of actions taken in the portal.

Who can see it

Each client sees only their own ad accounts and their own leads. Leadscape, the agency that runs this portal, can see every client’s data in order to run their campaigns and support them, and it records every action its staff take inside a client’s portal.

Nothing here is sold, shared with advertisers, or used to build profiles. Lead details are used only so the client the lead was submitted to can follow up.

Where it lives

Data is stored in a managed Postgres database and served from hosting in the United States, over HTTPS only. Client logos are stored in a file store on the same hosting provider. Photos a client takes at a meeting are stored in a private file store on that provider and are served only to that client’s signed-in users; location data embedded by the camera is removed before storage. Meta credentials are stored encrypted. Email, such as a password reset, is sent through a transactional email provider that receives only the recipient’s address and the message.

How long it is kept

Lead details and addresses, notes, meeting details such as the address and the person assigned, meeting photos, and ad performance are kept for as long as the client’s portal is active. Within 30 days of a client leaving, their data is exported to them on request and then deleted. A lead a client moves to the trash stays there, so it can be restored, until the client’s data is deleted. A lead a client deletes outright has its name, contact details, address, answers, notes, meetings, and photos removed at once; only an anonymous record that the lead existed is kept, so the same lead is not imported again.

Login records and the action log are kept for 12 months. Meta’s own copy of lead data is governed by Meta’s terms, not by this page.
